How Our Form 13F Filing Service Works

File13F handles your entire Form 13F filing from raw position data through confirmed EDGAR submission — for a flat fee of $175 per quarter. The process runs in three steps and typically completes within one to two business days of receiving your data.

Step 1: Securely Upload Your Position File

Upload your quarter-end position file through our secure SendSafely portal:

The file can come from your custodian(s) or portfolio management software in any common format — Excel, CSV, or a PDF position report. Please remove any client-specific identifying information (names, account numbers) before uploading. If you have accounts at multiple custodians, upload all position files together. See our data harvesting page for a full list of compatible custodians and portfolio management systems.

At minimum, each position requires three data points:

  • Number of Shares – Aggregate shares held as of the last trading day of the quarter
  • Market Value – Fair market value in thousands of dollars as of the last trading day
  • CUSIP – The 9-digit CUSIP identifier (ticker symbol is acceptable if CUSIP is unavailable)

Step 2: We Process and Validate Your Data

Once we receive your file, our team processes it through the following steps:

  • Adding all required Form 13F fields (investment discretion, voting authority, FIGI identifiers where applicable)
  • Cross-referencing every position against the SEC’s current quarter 13F eligible securities list to confirm reportability
  • Applying the SEC’s minimum reporting thresholds — positions below $200,000 in value and 10,000 shares are excluded
  • Aggregating duplicate holdings by CUSIP across multiple custodian files
  • Building and validating the EDGAR-compliant XML file against the SEC’s published schema

If we identify any data quality issues — missing CUSIPs, unrecognized securities, or threshold edge cases — we contact you directly before proceeding.

Step 3: EDGAR Submission and Confirmation

Once the XML passes validation, we submit the filing directly to EDGAR on your behalf. You will receive an email confirmation from EDGAR when the filing is accepted, and we send you a copy of the final submitted data for your records. If EDGAR returns a rejection error, we resolve it and resubmit at no additional charge.
